The client must provide Brevo administrator access, one complete CSV or XLSX file, accurate contact information, clear import instructions, and verifiable permission for every contact identified as subscribed. Third-party email verification, data enrichment, extensive cleanup, manual contact research, multiple files, more than 5,000 contacts, CRM objects, historical engagement data, integrations, and ongoing contact management are not included. Brevo may decline, skip, merge, update, or blocklist records according to its import rules and platform policies.

Service Scope

Brevo Contact Import & List Organization is a fixed-scope service for one business, one Brevo account, and one client-provided CSV or XLSX file containing up to 5,000 email contacts.

The service prepares the supplied file for import, maps approved data to Brevo contact attributes, creates an organized folder and list structure, builds practical dynamic segments, preserves available email subscription information, and validates the final import results.

This service includes basic file preparation but does not include extensive database cleanup, email verification, data enrichment, or contact acquisition.

Review the Existing Contact Database

We review the contact structure currently available inside one Brevo account.

The review covers:

  • Existing contact folders
  • Existing contact lists
  • Available contact attributes
  • Existing dynamic segments
  • Visible subscription statuses
  • Visible email blocklist statuses
  • Existing records that may be affected by the import
  • The client’s approved organization requirements

The review is limited to information directly related to the approved import.

Prepare the Contact File

We review one client-provided CSV or XLSX file containing up to 5,000 contact records.

Basic preparation may include:

  • Reviewing column headings
  • Removing completely empty rows
  • Trimming obvious extra spaces
  • Identifying exact duplicate email addresses
  • Checking email columns for basic formatting problems
  • Standardizing clearly inconsistent column headings
  • Organizing approved columns for attribute mapping
  • Converting the final file into a Brevo-supported import structure

The client must provide one complete and final source file. Combining multiple spreadsheets or rebuilding a fragmented database is not included.

Review Exact Duplicate Records

We identify obvious duplicate rows and repeated email addresses within the supplied file before import.

Brevo also automatically processes duplicate contacts during import and can associate one contact with multiple lists without sending duplicate copies of the same campaign.

This service does not include advanced duplicate resolution based on names, companies, addresses, telephone numbers, alternate email addresses, or incomplete records.

When duplicate records contain conflicting information, the client must approve which values should be retained.

Map Contact Attributes

We map up to 10 approved columns from the supplied file to Brevo contact attributes.

These may include:

  • Email address
  • First name
  • Last name
  • Company name
  • Job title
  • Customer type
  • Lead source
  • Location
  • Signup source
  • Other approved contact information

New custom attributes may be created where necessary and compatible with the supplied data.

The source information must be suitable for the selected Brevo attribute type. Unsupported, incomplete, or improperly formatted data may be excluded from the import.

Create the Folder and List Structure

We create one contact folder containing up to five approved lists.

Lists may organize contacts by:

  • Subscription category
  • Acquisition source
  • Customer type
  • Lead source
  • Business division
  • Event or campaign source
  • Product interest
  • Other client-approved classifications

A contact may belong to more than one list when appropriate.

The organization structure is designed to remain understandable and practical for future email campaigns and automations.

Build Dynamic Contact Segments

We create up to five dynamic segments using the contact information available after import.

Segments may organize contacts by:

  • Contact attribute
  • List membership
  • Location
  • Customer status
  • Lead source
  • Signup source
  • Imported date information
  • Other compatible criteria

Unlike static lists, dynamic segments automatically recalculate when contacts begin or stop matching the selected conditions.

Available segment conditions depend on the information stored in the account and the features available under the client’s Brevo plan.

Preserve Email Subscription Status

The client must identify the correct email marketing status for the supplied contacts and confirm that contacts imported as subscribed have provided verifiable permission to receive marketing emails.

Where compatible information is supplied, we map or preserve:

  • Approved subscribed contacts
  • Existing unsubscribed contacts
  • Email-blocklisted contacts
  • Available consent-related attributes
  • Other relevant email status information

Previously unsubscribed or blocklisted contacts will not be manually resubscribed or unblocked without valid client instructions and appropriate supporting authorization.

KizilCo does not determine whether the client’s contact collection process satisfies a particular law or regulation.

Import or Update Contacts

We complete one approved contact import into the selected Brevo account.

The import may add new contacts and update supported attributes for existing contacts when the client provides appropriate instructions.

Brevo can match existing contacts using available identifiers, including email addresses. Depending on the supplied data and import settings, Brevo may:

  • Add new contacts
  • Update existing contacts
  • Associate contacts with multiple lists
  • Remove duplicate records
  • Reject improperly formatted information
  • Decline questionable records
  • Preserve or apply blocklist status

Acceptance of every supplied record cannot be guaranteed.

Review the Import Results

After processing, we review the available Brevo import results.

The review identifies:

  • New contacts added
  • Existing contacts updated
  • Duplicate contacts processed
  • Invalid or rejected records
  • Visible formatting errors
  • Blocklisted contacts
  • Lists receiving the imported contacts
  • Other available import issues

One standard correction and re-import attempt is included for records affected by an in-scope formatting or attribute-mapping issue.

Records rejected because of invalid data, lack of consent, Brevo policy, account restrictions, or unsupported information may require client action or a separate service.

Implementation Summary

The client receives a concise implementation summary identifying:

  • The source file processed
  • The number of records submitted
  • The visible import results
  • The contact attributes mapped
  • The folder and lists created
  • The dynamic segments created
  • The subscription and blocklist handling used
  • Any unresolved records or restrictions
  • Recommended next steps

The Brevo account, contact information, lists, segments, and associated business data remain owned and controlled by the client.

Client Requirements

Before work begins, the client must provide:

  • Administrator access to the Brevo account
  • One complete CSV or XLSX contact file
  • No more than 5,000 contact records
  • Accurate and understandable column headings
  • The correct email marketing status for each applicable contact
  • Verifiable permission for contacts identified as subscribed
  • Instructions for adding or updating existing contacts
  • Requested folder and list names
  • Requested segment criteria
  • Explanations for unfamiliar data columns
  • Approval of any proposed attribute structure
  • Timely review of the completed import

Delivery and Revisions

Standard delivery is 5–7 business days after all required access, information, approvals, and the final contact file are received.

One consolidated correction round is included when submitted within seven days of delivery and remains within the original quantities and approved scope.

A replacement file, additional import, new organization structure, or materially different mapping plan is treated as a separate service.

  • Brevo subscription or contact-storage fees
  • More than 5,000 contact records
  • More than one source file
  • Multiple Brevo accounts
  • Extensive database cleanup
  • Advanced duplicate resolution
  • Third-party email verification
  • Data enrichment or manual research
  • Contact acquisition or purchased databases
  • Recovery of missing contact information
  • Importing companies, deals, tasks, or notes
  • Historical campaign or engagement activity
  • Historical automation events
  • SMS or WhatsApp contact configuration
  • Legal or regulatory compliance review
  • Resubscribing unsubscribed contacts
  • Unblocking blocklisted contacts
  • Deleting existing contacts
  • CRM, e-commerce, FTP, database, or API integrations
  • Signup form configuration
  • Campaign or template creation
  • Marketing automation
