Create a Reusable Branded Email System
Service Scope
Custom Klaviyo Email Template Design is a fixed-scope design and implementation service for one business, one Klaviyo account, and one reusable email template created in Klaviyo’s native drag-and-drop editor.
The service transforms the client’s approved brand direction, content, and visual assets into a flexible email system that can be reused for future newsletters, promotional campaigns, announcements, and other standard marketing emails.
Review Your Brand and Content Requirements
We review the materials provided for the template, including:
- Logo files
- Brand colors
- Approved fonts
- Existing brand guidelines
- Product or lifestyle imagery
- Email examples or references
- Typical content requirements
- Destination URLs
- Social media links
- Required footer information
The client must provide one clear design direction before production begins. Brand strategy, logo design, visual identity development, and multiple competing design concepts are not included.
Establish the Template Direction
We establish one client-approved visual direction for the email template based on the supplied brand assets and reference materials.
The direction covers the primary layout, typography, color treatment, buttons, spacing, image presentation, content hierarchy, and overall email style.
The service includes one template concept rather than multiple unrelated design concepts.
Build the Template in Klaviyo
We create the template inside the client’s Klaviyo account using Klaviyo’s native drag-and-drop editor.
The completed template is designed to remain editable so the client can replace copy, images, buttons, links, and selected content sections without rebuilding the entire layout.
Custom HTML, hybrid HTML development, external template coding, and conversion of complex web layouts into email code are not included.
Create a Modular Content Structure
The template can include up to 10 reusable content sections selected for the client’s typical email needs.
Depending on the approved design, sections may include:
- Announcement bar
- Branded header
- Hero image and primary message
- Introductory text
- Featured product or service
- Multi-column content
- Promotional offer
- Image and text combinations
- Customer testimonial
- Educational content
- Primary call to action
- Secondary call to action
- Social media links
- Branded footer
The exact combination is selected during the design process and remains within the 10-section limit.
Configure Reusable Universal Content
We configure up to four appropriate blocks or sections as reusable universal content where this supports the approved template structure.
Universal content may include:
- Header
- Footer
- Promotional banner
- Standard call-to-action section
These reusable elements can help maintain consistency when they are used across future Klaviyo templates and messages.
Account-wide template-system development or restructuring of existing universal content is not included.
Apply Branded Typography and Styling
We configure the available template styling to reflect the client’s approved visual identity.
This may include:
- Brand colors
- Supported fonts and fallback fonts
- Heading hierarchy
- Paragraph styling
- Button colors and shapes
- Link styling
- Background colors
- Section spacing
- Image treatment
- Divider styling
Email font availability and rendering depend on the recipient’s email client, device, and individual settings. Appropriate fallback fonts may be used when a brand font is not broadly supported.
Add Basic Personalization
We can configure up to three basic Klaviyo personalization tags with appropriate fallback values.
Examples may include:
- First name
- Company name
- Location
- Another approved profile property already stored in Klaviyo
The required profile data must already exist and be consistently formatted in the client’s account.
Advanced conditional logic, custom event data, dynamic tables, complex product recommendations, and individualized content strategy require a separate service.
Prepare Standard Commerce Content Areas
If the client already has a supported and functioning e-commerce integration, the template may include a standard editable area for product or promotional content.
This service does not configure the underlying integration, build a custom product feed, repair catalog synchronization, create advanced dynamic recommendations, or implement event-driven commerce logic.
Optimize the Mobile Layout
We review the template for practical use on desktop and mobile devices.
Mobile preparation may include:
- Responsive column behavior
- Mobile-friendly text sizing
- Appropriate margins and padding
- Button sizing and placement
- Image scaling
- Section stacking
- Mobile visibility settings
- Header and navigation adjustments
Rendering can vary among email applications, operating systems, screen sizes, and individual device settings.
Apply Accessibility Considerations
We apply practical email-accessibility considerations within the capabilities of Klaviyo’s editor and the supplied content.
The review may cover:
- Logical heading structure
- Readable text sizing
- Practical color contrast
- Descriptive link treatment
- Alternative text for supplied images
- Clear call-to-action labels
- Avoidance of image-only messaging
- Understandable content hierarchy
Formal accessibility certification, legal compliance auditing, and guaranteed conformance with every accessibility standard are not included.
Review Common Dark-Mode Behavior
The template is reviewed with common dark-mode behavior in mind.
We use practical design choices for logos, images, backgrounds, borders, and text contrast where possible. However, email applications apply dark mode differently, and some clients automatically modify colors in ways that cannot be completely controlled by the sender.
Identical rendering across every light-mode and dark-mode environment cannot be guaranteed.
Configure Links and Footer Content
We add the client-provided destination links, social media links, business information, and approved footer content to the template.
Klaviyo’s required unsubscribe and preference-management functionality is preserved where applicable.
The client remains responsible for supplying accurate business information, approved legal language, destination URLs, and any disclosures required for its organization or jurisdiction.
Preview and Test the Template
After the template is assembled, we use Klaviyo’s available preview and test-send features to review the completed design.
The service includes:
- Desktop preview review
- Mobile preview review
- Link and button review
- Personalization fallback review
- One test send to up to three client-provided inboxes
- One standard round of in-scope corrections
Third-party inbox testing platforms, testing across every email application, spam-placement analysis, and guaranteed rendering consistency are not included.
Editable Template Handoff
The completed template remains available inside the client’s Klaviyo account for future editing and reuse.
The client receives a concise implementation summary identifying:
- The template created
- The content sections included
- The universal content configured
- The personalization tags used
- The testing completed
- Any known platform or rendering limitations
- Practical recommendations for future use
The Klaviyo account, finished template, supplied brand assets, and associated business materials remain owned and controlled by the client.
Client Requirements
Before work begins, the client must provide:
- Administrator access to the Klaviyo account
- Final approved email copy

- Required business and footer information
- Examples or references for the preferred design direction

Delivery and Revisions
Standard delivery is 5–7 business days after all required access, content, assets, links, and design instructions are received.
One consolidated revision round is included when submitted within seven days of initial delivery and remains within the approved design direction and original service scope.
A new design direction, replacement of approved content, additional templates, extensive structural changes, or additional revision rounds require a separate service.
