GoHighLevel Calendar & Booking Hub Setup

Let customers book the right time with the right person.

Configure a practical HighLevel booking system around your services, team availability, calendar conflicts, appointment distribution, reminders, and follow-up—so customers get a clean booking experience and your team stays in control.

Design One Practical Appointment Process

We begin by mapping one approved scheduling process: what customers can book, which team members can deliver each appointment, how a booking should be distributed, what information must be collected, and what should happen before and after the meeting. HighLevel is then configured around that real process instead of leaving customers with generic availability and the team with unmanaged appointments.

Set Up Up to Three Booking Calendars

Up to three approved HighLevel booking calendars are configured within one sub-account (location). The included calendars may use a personal, service, or round-robin configuration when supported by the client’s account and the agreed process. Each calendar is prepared with an approved name, host or team assignment, duration, meeting method or location, public booking URL, and basic booking-page settings.

Organize Services and Appointment Details

For the included calendars, we organize the approved service names, descriptions, appointment durations, and client-facing instructions. Up to five native booking-form questions or contact fields are configured across the package to capture the information the team needs before an appointment. Service pricing, payments, complex intake forms, legal wording, and custom form design are not included unless separately scoped.

Prepare Availability for Up to Five Team Members

Availability is prepared for up to five named team members based on the client’s approved working hours, time zone, days off, and service responsibilities. We configure the relevant staff and availability settings for the included booking process so customers see realistic appointment options. Ongoing roster management, leave administration, and scheduling policy decisions remain with the client.

Connect and Check External Calendar Conflicts

For up to five included team members, we assist with connecting the supported Google or Outlook calendar access supplied by the client and configure the applicable conflict-checking behavior available in HighLevel. The goal is to prevent a customer from booking an included appointment over an existing blocked time. Provider authorization, Microsoft or Google account issues, historic-event cleanup, and unsupported calendar connectors are outside the package.

Apply Smart Booking Rules

Each included calendar is configured with the approved booking rules available in HighLevel, such as minimum notice, booking window, buffer time, maximum appointments, slot interval, rescheduling, cancellation behavior, and confirmation settings. We keep the rules practical and consistent with the team’s actual capacity; advanced multi-location capacity planning and complex availability exceptions are scoped separately.

Configure One Service or Round-Robin Distribution Rule

One approved booking-distribution arrangement is configured for the process that needs it. This can route an appointment to the appropriate available service provider or rotate it fairly across the agreed team members using the calendar functionality available in the client’s account. Complex weighted assignment, skill matrices, territory logic, external routing systems, and multi-stage eligibility rules are not part of this setup.

Prepare a Clean Booking Experience

We prepare the included booking pages with the approved calendar titles, basic client-facing instructions, host or service information, confirmation behavior, and shareable URLs. The client receives the booking links and available embed code for use in their own website, funnel, email, or messages. Website placement, funnel creation, custom front-end styling, and conversion-copy development are separate services.

Set Appointment Confirmations, Reminders, and Changes

One practical notification set is configured for the included calendars using HighLevel’s available appointment notifications. The setup may cover confirmation, reminder, reschedule, cancellation, no-show, or follow-up communication for the approved recipients and channels. The client supplies approved message wording, consent language, and required links; SMS, email, WhatsApp, carrier, and provider usage or approval costs are separate.

Build Two Controlled Appointment Workflows

Up to two native HighLevel workflows are configured to support the booking process. They may notify the appointment owner, update an approved contact field, apply a tag, create a task, send a client-approved confirmation or reminder, or trigger a basic post-appointment follow-up. Each workflow is limited to up to six standard actions. AI agents, bulk campaigns, advanced sales automation, external API actions, and new copywriting are separate services.

Test the Complete Booking Journey

One controlled testing cycle is completed with approved sample appointments. We verify calendar availability, conflict behavior, booking forms, staff or service assignment, distribution, confirmation pages, notifications, calendar visibility, rescheduling, cancellations, and the included workflows before handoff. One fixed-scope correction round is included where the original approved process remains unchanged.

Train the Team and Hand Off the Booking Hub

The client receives a concise calendar configuration summary and one 60-minute live handoff session for the administrator or scheduling team. The package also includes 14 calendar days of post-launch support for questions and minor corrections within the delivered scope. HighLevel subscriptions, calendar-provider access, phone, SMS, email, WhatsApp, AI or other usage, payment processing, paid applications, custom integrations, external services, and third-party fees are purchased or quoted separately.
