GoHighLevel Conversations Hub Setup

Give every customer message a clear owner and next step.

Connect customer messages into one practical HighLevel workspace, then give your team clear ownership, response templates, routing and follow-up processes they can use every day.

Build the Inbox Around Your Customer Response Process

We begin by mapping one approved customer-response process: where inquiries arrive, who should respond, what needs a fast reply, when a conversation should be reassigned, and how follow-up is tracked. HighLevel is then organized around the routine your team will actually use instead of leaving customer messages disconnected and unmanaged.

Set Up One Shared Conversations Workspace

One HighLevel sub-account is configured as the team’s shared customer-message workspace. We prepare the core conversation environment, agreed notifications, working statuses, and a practical handling approach so messages can be opened, owned, answered, followed up, and closed consistently. Historic conversation migration is not included.

Connect the Essential Customer Channels

We connect up to three approved, supported communication sources: one business email inbox, one existing SMS-capable HighLevel phone number, and one supported social messaging account. Each connection requires the client’s active subscription, provider access, registration, and platform authorization. Additional channels, phone provisioning, WhatsApp approval, sender verification, and compliance work are separate.

Give the Right Team Members the Right Access

Access is prepared for up to eight named users using the roles and conversation visibility available in the client’s account. The setup distinguishes the people who respond to customers from the managers who need oversight, keeping ownership clear without exposing unnecessary areas of the system.

Route Conversations With Clear Ownership Rules

Up to two approved routing or assignment rules are configured around the agreed process. When supported by the available trigger and channel information, a rule can assign a conversation or related contact, apply an approved tag, update a working status, create an internal task, or notify the responsible person. Complex round-robin logic, multi-location routing, external help-desk orchestration, and custom-coded rules are separate.

Prepare Responses for Common Customer Requests

Up to five practical email, SMS, or supported-channel response templates are prepared for common situations such as a first reply, availability request, booking prompt, quote follow-up, or handoff acknowledgement. The client provides approved wording, legal language, links, and brand guidance. Full copywriting, campaign design, and larger template libraries are not included.

Add One Branded Website Chat Widget

One HighLevel chat widget is configured for one approved website or funnel location. The setup includes the agreed display name, brand appearance, welcome message, basic online or offline behavior, and up to five contact-capture fields where the selected widget supports them. The client provides the required website access; multi-site rollout, custom front-end development, and funnel creation are separate services.

Organize the Daily Conversation View

Up to five practical inbox filters or working views are prepared for the team’s day-to-day workload, such as unassigned inquiries, unread messages, conversations assigned to the current user, items awaiting follow-up, and one agreed priority queue. These views make it easier to see what needs attention without turning the inbox into a complicated reporting system.

Keep Follow-Up Moving After the First Reply

Up to two native HighLevel workflows are configured to support the agreed response process. They can acknowledge an inquiry with an approved existing template, notify an owner, create a follow-up task, apply a tag, update a field, or escalate an unanswered conversation after an agreed delay. Each workflow includes up to six standard actions; AI agents, bulk campaigns, advanced CRM automation, external API actions, and new message copy are separate services.

Document the Everyday Response Standard

We provide a concise operating guide covering the included channels, ownership rules, response templates, routing logic, follow-up steps, and escalation point. It gives the client a clear reference for how the team should work inside Conversations after launch; it is not a legal compliance policy, staffing plan, or ongoing inbox-management service.

Test the Customer Response Journey

One controlled testing cycle is completed with approved representative messages. We verify the included channel connections, inbound visibility, ownership, routing, user access, saved templates, widget behavior, working views, notifications, and workflows before activation. One fixed-scope correction round is included when the approved process remains unchanged.

Train the Team and Support the Launch

The client receives a practical Conversations Hub summary and one 60-minute live handoff session for the administrator or response team. The package also includes 14 calendar days of post-launch support for questions and minor corrections within the delivered scope. HighLevel subscriptions, phone, SMS, email, and AI usage, carrier or social-platform charges, required approvals, paid applications, custom integrations, external services, and third-party fees are separate.
