GoHighLevel CRM Setup & Automation

Turn every lead into a clear next step.

Set up a structured GoHighLevel CRM with customer data, opportunity pipelines, ownership, lead follow-up and reporting built around the way your team qualifies and closes business.

Map the Sales Process Before Building

We begin with one focused CRM planning session around the way your business actually captures and closes leads. Together, we define the lead sources, qualification steps, required information, opportunity stages, ownership rules, follow-up expectations and win-or-loss outcomes that should guide the setup. The goal is a CRM that follows your team’s real sales process, not a generic template.

Establish a Clear CRM Foundation

Your HighLevel sub-account is organized around the customer records, sales opportunities and working conventions your team will use every day. We set the agreed terminology and structure so new inquiries, active opportunities and customer history remain easy to understand as the database grows.

  • Contact and opportunity record structure
  • Lead-source, status and tag conventions
  • A clear handoff from new inquiry to owned opportunity

Configure the Fields That Matter

Up to 25 approved Contact or Opportunity custom fields are designed and configured around the information that matters for qualification, ownership and follow-up. Each field receives an approved label, type, options and organization, giving your team useful context without turning every record into an unnecessary form. Custom objects, advanced calculated logic, broad historical-data cleanup and unapproved field redesign are scoped separately.

Build Opportunity Pipelines Around Daily Work

We configure up to two opportunity pipelines, each with up to eight approved stages, around the path from a new inquiry to a final outcome. The stages make it clear where work stands, what should happen next and which opportunities need attention. The resulting process is built for everyday use by the people moving opportunities forward.

Set Ownership, Roles and Visibility

Access is prepared for up to 10 named users using the available HighLevel roles, relevant module permissions and assigned-record visibility. Individual team members can focus on the work they own, while approved managers retain the visibility needed to monitor activity and performance. Final responsibility assignments and user access decisions remain client-approved.

Automate the Critical Next Steps

Up to four native HighLevel workflows are configured to move the agreed CRM process forward without relying on manual reminders alone. Each workflow may contain up to 10 standard actions and is built around a defined trigger, responsible owner, timing and expected outcome.

  • Assign an owner or create a follow-up task
  • Update approved fields, tags or opportunity status
  • Notify the team or send an existing approved message template
  • Create or update an opportunity when the agreed process requires it

New campaign copy, template design, paid actions, AI agents, custom code and external API actions are not included.

Turn Follow-Up Into a Daily Routine

We turn the agreed process into a repeatable rhythm for the team: what happens when a lead arrives, when it is assigned, when it advances, when it goes quiet and when it is won or lost. The delivered setup uses tasks, notes, opportunity history, ownership and reminders to make the next action visible rather than leaving important leads to memory.

Organize Work Queues Your Team Can Use

Up to six approved Smart Lists, pipeline filters or saved working views are prepared around the queues your team needs most, such as unassigned leads, today’s follow-up work, overdue tasks and stalled opportunities. These views keep daily work focused and reduce the chance that a valuable inquiry gets buried inside a large contact database.

Build One Focused Sales Dashboard

One practical sales dashboard with up to six available widgets or reports is configured for managers and approved users. Depending on the client’s plan and available data, it can give visibility into opportunity volume, stage distribution, pipeline value, conversion results, source performance or owner activity. Advanced custom reporting, cross-system analytics and data-warranty work are separate services.

Import Your Prepared CRM Data

One clean, client-approved CSV file with up to 2,000 contact records can be imported into the agreed CRM structure. Columns are mapped to the appropriate standard and included custom fields so the imported records are usable from day one. Data research, deduplication, enrichment, migration from multiple sources, association repair and unprepared data are not included.

Test the Lead-to-Follow-Up Journey

Before launch, we run one controlled test using representative records and approved scenarios. We verify data capture, ownership, pipeline movement, workflow enrollment, tasks, notifications, working views, dashboard visibility and the included import. One fixed-scope correction round is included once the original approved process is confirmed.

Train the Team and Support the Launch

You receive a practical CRM setup summary and one 90-minute live handoff session for the administrator or sales team. The package also includes 14 calendar days of post-launch support for questions and minor corrections within the original approved scope.

HighLevel subscriptions, phone, SMS, email and AI usage, paid applications, custom integrations, external services and third-party fees are purchased or quoted separately.
