Build a sales process that keeps every opportunity moving.
Map the Sales Process Before Building It
We begin by defining one approved sales path from a new lead to a won, lost or future-opportunity outcome. That includes who owns the lead, what qualifies it, the stages it moves through, the actions expected at each stage, the follow-up rhythm and the numbers the manager needs to see. The suite is then configured around that real operating process, not around disconnected features.
Create One Connected Sales Workspace
One HighLevel sales workspace is organized so contacts, opportunities, conversations, tasks and follow-up activity stay connected in the same customer record. The configuration is intended for one HighLevel sub-account and one agreed sales process. Separate business units, complex data migrations, historical-record remediation and external CRM consolidation are outside this bundle.
Give Every Lead a Clear Owner and Stage
One sales opportunity pipeline with up to 10 approved stages is configured around the team’s actual selling process, from new lead through qualification, active follow-up, proposal, decision and closed outcomes. Ownership, visibility and practical stage rules are set up for up to 10 team members so the next person and next action are clear at every point.
Organize the Customer and Deal Context
Up to 25 approved Contact or Opportunity custom fields are mapped to the information the sales team needs to qualify, prioritize and advance opportunities. This can include source, service interest, lead priority, estimated value, decision timing and agreed qualification details. One prepared CSV import of up to 2,000 contacts is included when the source data is supplied in the approved template.
Keep Sales Conversations in One Place
One shared HighLevel Conversations workspace is organized around up to three client-authorized channels: one email inbox, one existing SMS-capable number and one supported web chat or social inbox where access and approvals allow. Up to eight reusable email, SMS or chat templates are prepared for first response, qualification, follow-up, re-engagement, appointment prompts and handoff messages.
Assign New Opportunities Without Delay
Up to four native routing or assignment rules are configured around the approved sales process, such as lead source, service interest, territory, priority, team availability or lifecycle stage. A rule may assign an owner, update an opportunity, notify the responsible person or create a task using capabilities available on the client’s active HighLevel plan. Custom APIs and external routing platforms are not included.
Build a Consistent Follow-Up Rhythm
The suite creates a practical cadence for leads that do not respond immediately, prospects who need more information and opportunities waiting on a decision. Follow-up timing, approved messages, business-hour rules and stop conditions are mapped to the sales stages so the team knows when a person is being contacted and when a human conversation or task is needed.
Let Automation Support the Sales Team
Up to eight native HighLevel workflows are configured across the approved lead assignment, first response, multi-channel follow-up, qualification, task creation, stale-opportunity reminder, re-engagement and outcome path. Each workflow is limited to up to 10 standard native actions. Complex branching, long-term marketing programs, custom code and external automation tools are separate services.
Keep Next Actions Visible Every Day
Up to six practical sales views, queues or Smart Lists are organized to help the team focus on new leads, unassigned records, due follow-up, active opportunities, stalled deals and upcoming decisions. The setup connects the agreed ownership and pipeline rules with daily work, so important opportunities are not left inside a generic database without a next step.
Make Stalled Opportunities Easier to Recover
One controlled stale-deal and re-engagement approach is configured around approved timing and messages. It can flag opportunities that have not progressed, create a follow-up task, notify an owner or start an approved native follow-up path. The focus is to surface missed opportunities early; ongoing sales outreach, lead qualification and manual deal recovery remain the responsibility of the client’s team.
Measure Pipeline and Team Performance
One simple manager dashboard is configured with up to eight supported native widgets and one agreed reporting routine. It can provide a practical view of lead volume, source, opportunity stage, pipeline value, activity, conversions and owner performance based on available HighLevel data. Attribution, available reports and accuracy depend on the client’s plan, connected sources and data quality; external BI, warehouse work and ad-spend reporting are separate.
Test, Hand Off and Support the Launch
Before handoff, we run controlled testing across up to 15 approved scenarios covering record creation, assignment, conversations, workflow actions, tasks, pipeline movement and dashboard visibility. One fixed-scope correction round is included for issues within the agreed configuration. The bundle concludes with a 90-minute administrator handoff and 14 days of launch support for practical in-scope questions. Platform subscriptions, domains, phone and message usage, email-sending services, channel approvals, paid apps, custom integrations and third-party fees are separate.
