Put practical, controlled AI to work inside HubSpot.
Choose the AI Use Cases That Matter First
We begin with an AI-readiness and use-case review for one HubSpot portal. Together, we assess up to six practical opportunities across sales, marketing, service, operations, and leadership, then select up to three approved use cases for the initial setup. Each selected use case is defined by its intended users, business goal, source information, expected output, required human review, and escalation point so Breeze supports meaningful work rather than becoming another unused tool.
Review Account Readiness and Available Entitlements
Before configuration begins, we confirm the Breeze features, HubSpot subscription level, seats, credits, connected applications, and account controls available in the client’s portal. We identify which requested capabilities can be configured through the current environment and which would require a different subscription, additional credits, a paid application, or a separate implementation. This package configures only the supported functions actually available to the client at the time of setup.
Set Up Responsible AI Access Controls
We configure the relevant HubSpot AI settings and review the approved data categories that Breeze may use, such as CRM records, customer conversations, files, and connected data where supported. Access can be organized for up to 15 named users across up to four approved teams or permission groups. The final privacy, legal, compliance, retention, and data-sharing decisions remain with the client, while the delivered configuration follows their written approvals.
Identify the Information Breeze Can Reliably Use
For each approved use case, we review the relevant CRM structure, customer records, conversations, files, existing content, and connected sources that may inform AI responses. We flag incomplete, outdated, duplicate, or unsuitable source material that could affect results, then define a practical source-of-truth approach. Data cleanup, large-scale migration, custom data architecture, and third-party remediation are not included in this implementation.
Prepare One Focused Knowledge Source
When the client’s HubSpot edition supports it, the package includes configuration of one approved knowledge vault or equivalent supported Breeze knowledge source. We can organize up to 25 client-approved source items, such as help articles, process documents, service information, FAQs, or approved files, subject to HubSpot’s current file and source limitations. The client remains responsible for ownership, accuracy, approval, and ongoing maintenance of every source item.
Configure the Breeze Tools Available to Your Team
We enable and configure the standard Breeze functions that are available in the client’s HubSpot portal and relevant to the approved use cases. This can include Breeze Assistant access, record summaries, content assistance, source-aware question answering, or other supported tools. The final toolset is based on the portal’s active subscriptions, product availability, permissions, language support, and any credits or usage limits applied by HubSpot.
Build One Focused Assistant or Agent When Eligible
If Breeze Studio and the relevant feature entitlement are available, we configure one focused assistant or supported agent around one approved business role. The included build can use up to 10 approved operating instructions, one selected knowledge source, and the standard actions or tools available without custom development. Complex multi-agent systems, custom APIs, external-system actions, autonomous customer-facing deployment, and custom-coded logic are separately scoped.
Create Practical Prompt and Usage Guidance
To make adoption easier, we prepare up to 15 practical prompt starters and usage examples aligned with the selected use cases. These may help teams summarize customer history, prepare sales research, draft and refine approved content, find internal information, or organize next steps. The guide also identifies what users should verify before relying on an AI-generated response and when they should escalate work to a qualified team member.
Test Outputs, Sources, and User Access
We complete one controlled testing cycle with up to 12 client-approved scenarios. Testing checks that the intended users can access the right tools, selected sources are available where supported, outputs follow the configured instructions, and known human-review steps are clear. We include one fixed-scope correction round when the original use cases, source material, and account entitlements remain unchanged.
Turn the Setup Into a Repeatable Team Process
For each included use case, we create a simple operating guide that shows when to use Breeze, which information to provide, how to review the output, and what should remain a human decision. This gives sales, marketing, service, or operations users a consistent starting point while preserving accountability for customer communication, business decisions, and final published work.
Train the Team and Support the Launch
The package includes two 60-minute live training and handoff sessions for the relevant administrators and team leads. The client receives a concise Breeze setup summary, access and use-case register, knowledge-source summary, prompt guide, and testing notes. Fourteen calendar days of post-launch support are included for configuration questions and minor adjustments within the original approved scope. HubSpot subscriptions, seats, credits, paid AI features, third-party applications, content creation, data cleanup, legal or compliance advice, custom development, and ongoing AI administration are purchased or quoted separately.
