Service Scope
Klaviyo Newsletter Design & Setup is a fixed-scope service for one business, one Klaviyo account, one reusable newsletter template, and one fully assembled sample newsletter issue.
The service combines the client’s approved content, images, links, and brand assets into a polished newsletter layout that can be edited and reused for future announcements, company updates, educational content, product highlights, and promotional communications.
The completed newsletter is prepared as a draft and is not scheduled or sent to a live audience.
Review the Newsletter Requirements
We review the client-provided materials and establish the practical requirements for the newsletter.
The review covers:
- Newsletter purpose
- Intended content hierarchy
- Approved brand direction
- Logo and brand assets
- Available colors and fonts
- Supplied written content
- Image requirements
- Calls to action
- Destination links
- Social media links
- Required footer information
The client must select one clear design direction before production begins.
Establish the Newsletter Design Direction
We create one newsletter design direction based on the supplied brand guidelines, reference materials, and approved content.
The design direction may establish:
- Newsletter header style
- Typography hierarchy
- Color treatment
- Image presentation
- Section spacing
- Button appearance
- Content alignment
- Call-to-action styling
- Footer presentation
- Overall visual rhythm
Multiple unrelated concepts, brand identity development, and exploratory design packages are not included.
Build a Reusable Klaviyo Template
We build one reusable newsletter template inside the client’s Klaviyo account using Klaviyo’s native drag-and-drop email editor.
The template is designed so the client can replace text, images, links, offers, and selected content sections without rebuilding the newsletter from the beginning.
The finished design is saved inside Klaviyo for future use.
Create the Newsletter Structure
The template can contain up to 10 reusable newsletter sections plus one branded footer.
Depending on the approved content, the structure may include:
- Announcement bar
- Logo and header
- Newsletter title
- Introductory message
- Featured story
- Image and text section
- Product or service highlight
- Educational content
- Company update
- Customer story or testimonial
- Promotional offer
- Event announcement
- Primary call to action
- Secondary call to action

The final combination is selected according to the newsletter’s approved purpose and remains within the included section limit.
Assemble One Sample Newsletter Issue
We use the approved template to assemble one complete sample newsletter issue with the client-provided content.
The sample issue demonstrates how the reusable structure can be used in practice and may include:
- Approved headlines
- Final body copy
- Up to 12 supplied images
- Buttons and destination links
- Basic personalization
- Social media links
- Business information
- Required footer elements
The sample issue serves as a prepared design example. Audience selection, campaign scheduling, and live distribution require the separate Klaviyo Email Campaign Setup & Launch service.
Place and Format Supplied Images
We place up to 12 client-provided images within the approved newsletter layout.
Basic placement may include:
- Image sizing inside Klaviyo
- Cropping through available editor controls
- Alignment
- Spacing
- Alternative text
- Destination-link assignment
- Mobile display review
The client must provide images in usable quality and confirm that it has permission to use them.
Photography, custom graphics, background removal, advanced retouching, illustration, and extensive image reconstruction are not included.
Apply Branded Styling
We configure the newsletter’s visual styling using the available Klaviyo editor controls.
This may include:
- Brand colors
- Supported fonts and fallback fonts
- Heading styles
- Paragraph styles
- Button styling
- Link colors
- Background colors
- Borders and dividers
- Section padding
- Image presentation
- Footer styling
Font rendering and certain visual details may differ depending on the recipient’s device and email application.
Configure Basic Personalization
We can add basic profile personalization where appropriate, such as the recipient’s first name.
A fallback value is included so the message remains readable when the selected profile information is unavailable.
The required profile data must already exist in Klaviyo. Advanced conditional logic, event-based content, dynamic tables, individualized product recommendations, and complex personalization are not included.
Prepare Web-View and Preference Links
Where appropriate, we prepare the newsletter for Klaviyo’s standard web-view, unsubscribe, and preference-management functionality.
The footer can include the client’s supplied:
- Business name
- Mailing address
- Contact information
- Social media links
- Privacy-policy link
- Preference-management link
- Unsubscribe link
- Approved disclaimer or legal text
Klaviyo requires an unsubscribe link in marketing emails. The client remains responsible for providing accurate business information and determining which legal disclosures apply to its organization.
Optimize the Newsletter for Mobile Devices
We review and adjust the newsletter for practical use on desktop and mobile devices.
Mobile preparation may include:
- Responsive section behavior
- Column stacking
- Mobile-friendly text sizing
- Appropriate margins and padding
- Button sizing
- Image scaling
- Header adjustments
- Content-order review
- Mobile visibility settings
Email applications process responsive layouts differently, so identical rendering across every device and inbox cannot be guaranteed.
Apply Accessibility Considerations
We apply practical accessibility considerations within the capabilities of Klaviyo’s editor and the content supplied by the client.
The review may cover:
- Clear heading hierarchy
- Readable text sizing
- Practical color contrast
- Descriptive button labels
- Alternative text for images
- Logical content order
- Avoidance of image-only messaging
- Understandable link presentation
Formal accessibility certification or legal compliance auditing is not included.
Review Common Dark-Mode Behavior
The newsletter is reviewed with common dark-mode behavior in mind.
We use practical treatments for logos, images, text, backgrounds, and borders where possible. However, email applications control how dark mode is applied and may automatically alter colors in different ways.
Identical appearance across every light-mode and dark-mode environment cannot be guaranteed.
Review Links and Newsletter Content
We complete one standard review of the assembled sample issue.
The review covers:
- Supplied text placement
- Image placement
- Button destinations
- Text links
- Social media links
- Personalization fallback
- Web-view functionality
- Footer information
- Unsubscribe readiness
- Obvious formatting inconsistencies
The client is responsible for confirming the accuracy of all final copy, prices, offers, dates, product information, legal text, and destination URLs.
Preview and Test the Newsletter
We use Klaviyo’s available preview tools to review the newsletter in desktop and mobile views.
One controlled test send to up to three client-provided inboxes is included.
The test is used to review:
- General visual appearance
- Images
- Links and buttons
- Personalization fallback
- Footer content
- Desktop layout
- Mobile layout
- Obvious rendering problems
Third-party inbox testing, spam-filter testing, guaranteed inbox placement, and testing across every email application are not included.
Save and Hand Off the Newsletter
The approved design is saved inside the client’s Klaviyo account as a reusable template.
The client receives a concise implementation summary identifying:
- The template created
- The sample issue assembled
- The sections included
- The personalization configured
- The footer functionality prepared
- The preview and testing completed
- Any known limitations
- Practical instructions for future reuse
The Klaviyo account, completed newsletter, supplied assets, and associated business materials remain owned and controlled by the client.
Client Requirements
Before work begins, the client must provide:
- Administrator access to the Klaviyo account
- Final approved newsletter copy
- Logo and brand assets
- Approved colors and fonts
- Up to 12 prepared images
- Destination URLs for every button and link
- Social media links
- Business name and mailing address
- Required legal or disclaimer text
- One clear design direction
- Any requested basic personalization information
- Up to three inboxes for the test send
- Timely review and approval
Production begins after all required access, content, images, links, and instructions are received.
Delivery and Revisions
Standard delivery is 7–10 business days after all required materials and access are received.
Two consolidated revision rounds are included when submitted within seven days of the corresponding delivery and remain within the approved design direction and original scope.
A new design direction, replacement of approved content, additional newsletter issues, major structural changes, or additional revision rounds require a separate service.
