We connect one approved CRM or business system with Mailchimp, map the customer data that matters, build controlled synchronization workflows, test the connection, and document how the completed integration operates.

Service Scope

Mailchimp CRM & API Integration is a fixed-scope technical service for one business, one Mailchimp account, one primary audience, and one approved external CRM or business application.

The service connects the selected system with Mailchimp using one approved integration method, maps up to 15 contact fields, configures up to three defined data workflows, performs controlled testing, and provides technical documentation and handoff.

This package is intended for a focused small-business integration. Complex enterprise architecture, unrestricted custom development, and integrations involving multiple source systems require a custom proposal.

Technical Compatibility Review

Compatibility must be confirmed before the service is purchased.

We review:

  • The source CRM or business application
  • Available native connectors
  • Available API endpoints
  • Authentication requirements
  • Webhook support
  • Data-access permissions
  • Mailchimp plan and account configuration
  • Required synchronization direction
  • Expected data volume
  • Available server-side hosting
  • Known platform restrictions

The external system must provide a supported connector, documented API, webhook capability, export method, or another technically viable integration path.

A system that does not provide usable technical access cannot be integrated under this fixed package.

Select the Integration Method

The connection may use one of the following methods:

  • A supported native integration
  • An approved third-party automation platform
  • An approved integration middleware service
  • A focused custom server-side implementation using the Mailchimp Marketing API

The appropriate method is selected after the compatibility review.

The package includes one primary integration method. Rebuilding the connection through a different platform or changing the selected architecture after approval is outside the original scope.

Third-party software, middleware, hosting, and usage fees are paid directly by the client.

Define the Source of Truth

Before configuration begins, we identify which system controls each important category of data.

This may include:

  • Contact identity
  • Email address
  • Marketing permission
  • Subscription status
  • Customer or lead status
  • Contact ownership
  • Tags and classifications
  • Profile information
  • Customer preferences
  • Relevant business activity

A clear source of truth reduces duplicate updates, conflicting records, circular synchronization, and accidental replacement of approved data.

Complex master-data management or automatic conflict resolution between multiple systems is not included.

Map Up to 15 Contact Fields

We map up to 15 approved fields between the external system and one Mailchimp audience.

Fields may include:

  • Email address
  • First name
  • Last name
  • Company name
  • Phone number
  • Lead status
  • Customer status
  • Account owner
  • Lead source
  • Location
  • Product interest
  • Customer category
  • Signup source
  • Approved custom fields
  • Internal tags or classifications

The available mapping depends on the field types supported by both platforms.

The client must explain unfamiliar fields and approve the final data map before implementation.

Sensitive credentials, complete payment information, authentication secrets, and unrelated confidential records will not be synchronized.

Configure Up to Three Data Workflows

The service includes up to three approved synchronization workflows.

Examples include:

  • Creating or updating a Mailchimp contact when an eligible CRM record is created or changed
  • Applying or removing Mailchimp tags when an approved CRM status changes
  • Returning a supported subscription status or selected Mailchimp activity to the CRM
  • Adding an eligible contact to one approved audience
  • Triggering an approved Mailchimp automation from a supported external event
  • Updating selected Mailchimp merge fields from the source application

Each workflow includes:

  • One defined trigger
  • One primary source
  • One primary destination
  • Approved field mapping
  • Basic conditions
  • One primary action
  • Basic error capture
  • Controlled testing

Complex branching, multiple destinations, advanced transformation logic, large workflow chains, or additional synchronization processes require a custom quote.

Supported Synchronization Direction

The approved workflows may operate in one direction or provide a limited two-way exchange when both platforms support the required actions.

For example:

  • CRM to Mailchimp
  • Mailchimp to CRM
  • CRM to Mailchimp with one supported status returned to the CRM

This package does not include unrestricted bidirectional synchronization, continuous database reconciliation, automatic conflict resolution, or enterprise master-data management.

Configure Mailchimp Authentication

When a custom API connection is required, we configure an approved authentication method for one Mailchimp account.

Depending on the integration architecture, this may use:

  • A dedicated Mailchimp Marketing API key
  • An approved OAuth 2 connection
  • Authentication provided by a supported connector or middleware platform

API credentials must be delivered through an approved secure method and must never be placed in browser-side code, public repositories, screenshots, or ordinary email messages.

The client remains responsible for the Mailchimp account, API credentials, external platform credentials, and connected infrastructure.

A public OAuth application intended to connect multiple unrelated customer accounts is not included.

Configure Up to Two Audience Webhooks

Where technically appropriate, we configure up to two Mailchimp audience webhook subscriptions for supported events.

Webhook events may be used to notify the connected system about changes such as:

  • New subscriptions
  • Unsubscriptions
  • Contact profile updates
  • Email-address changes
  • Cleaned addresses
  • Other supported audience events

The receiving system must provide or permit an appropriate public HTTPS endpoint.

Development of a separate webhook platform, advanced event queue, custom monitoring system, or high-availability infrastructure is not included.

Preserve Subscription Status

The integration is configured according to the client’s approved marketing-permission and contact-status rules.

The client must identify which records are eligible to be added as subscribed contacts and confirm that the required permission has been obtained.

Existing unsubscribed, cleaned, or restricted contacts will not be automatically resubscribed.

KizilCo does not determine whether the client’s collection, storage, or use of personal information complies with a particular law, regulation, contract, or industry requirement.

Basic Data Transformation

The package includes limited transformation required for the approved field mapping.

This may include:

  • Standardizing supported field names
  • Converting basic text values
  • Matching approved status values
  • Formatting supported dates
  • Applying defined tags
  • Ignoring empty optional values
  • Rejecting visibly incomplete required records

Extensive data normalization, duplicate resolution, address correction, manual research, enrichment, database reconstruction, or custom business-rule engines are not included.

Controlled Integration Testing

We test the approved workflows using up to 100 client-approved sample or production records.

Testing may verify:

  • Authentication
  • Contact creation
  • Contact updates
  • Field mapping
  • Tag application
  • Subscription-status handling
  • Webhook delivery
  • Supported workflow triggers
  • Basic error responses
  • Duplicate-prevention behavior
  • Expected data direction

The client must review the test results and approve the integration before broader use.

This service does not guarantee that every record will be accepted by Mailchimp or the external platform.

Error Handling and Recovery Guidance

The integration includes basic error capture appropriate to the approved implementation method.

Depending on the selected platform, this may include:

  • Recording unsuccessful operations
  • Identifying rejected records
  • Capturing supported API error details
  • Preventing repeated processing of the same event
  • Basic handling of temporary connection failures
  • Documented instructions for retrying an eligible operation

Continuous monitoring, advanced alerting, automatic incident response, guaranteed uptime, and 24-hour technical support are not included.

Deployment and Launch

After testing and client approval, we activate the approved integration in one production environment.

The client must provide any required server, serverless platform, integration platform, or middleware account.

The launch covers the approved workflows only. Historical data synchronization, bulk migration, or processing the client’s complete existing database is not included unless separately quoted.

Technical Documentation and Handoff

The client receives an implementation summary identifying:

  • The systems connected
  • The selected integration method
  • The approved source of truth
  • The synchronization direction
  • The fields mapped
  • The workflows configured
  • The webhooks configured
  • The test results
  • Known platform restrictions
  • Basic error-recovery steps
  • Credential rotation recommendations
  • Any unresolved third-party issue

Custom source code created specifically for the approved integration is transferred according to the project agreement.

Mailchimp, CRM, middleware, hosting, and other third-party platforms remain owned and controlled by the client.

Fourteen Days of Post-Launch Support

The service includes 14 calendar days of limited post-launch support beginning when the approved integration is activated.

Support covers correction of reproducible configuration or code defects directly related to the original approved workflows.

It does not include:

  • New workflows
  • Additional fields
  • New platforms
  • Architecture changes
  • New transformation rules
  • Historical data processing
  • Changes caused by third-party platform updates
  • Ongoing monitoring
  • General CRM or Mailchimp administration

Issues reported after the support period can be handled through a separate maintenance service.

Client Requirements

Before work begins, the client must provide:

  • Compatibility confirmation before purchase
  • Administrator access to one Mailchimp account
  • Appropriate access to the external CRM or application
  • Current API or integration documentation
  • Securely delivered API or OAuth credentials
  • One primary Mailchimp audience
  • Definitions for the requested data fields
  • Approved synchronization direction
  • Approved subscription and consent rules
  • Up to 100 suitable testing records
  • An existing server-side environment when required
  • A technical contact for the external platform
  • Required third-party subscriptions
  • Timely review and approval of the data map
  • Timely review and approval of test results

Delays in access, credentials, documentation, hosting, client decisions, or third-party technical support may extend the delivery schedule.

Delivery and Revisions

Standard delivery is 10–15 business days after all required access, documentation, credentials, sample data, and written approvals are received.

Third-party approval processes, undocumented APIs, platform outages, security reviews, and external technical limitations may extend the completion time.

One consolidated correction round is included when submitted within seven days of initial delivery and remains within the approved architecture, fields, and workflows.

A different CRM, additional audience, replacement integration platform, or materially changed data-flow requirement is treated as a separate project.

  • Enterprise master-data management
  • Custom development inside the external CRM
  • Unsupported or undocumented legacy systems
  • Public marketplace application development
  • Multi-customer OAuth application publication
  • Mailchimp Transactional configuration
  • Campaign creation or launch
