The client must provide Mailchimp administrator access, an active plan supporting the approved multi-step flow, one prepared audience, required fields, tags or groups, an operational entry source, and final approved copy, images, links, sender details, and footer information for up to three emails. Mailchimp fees, strategy development, copywriting, custom template design, audience cleanup, signup forms, integrations, e-commerce or API configuration, SMS, custom events, and ongoing monitoring are not included. Available triggers, rules, actions, and branching features depend on the client’s plan and existing account data. Delivery, inbox placement, opens, clicks, and conversions cannot be guaranteed.

We map and configure one multi-step Mailchimp automation that moves eligible contacts through a defined sequence of emails, delays, conditions, and contact-management actions based on one approved business objective.

Service Scope

Mailchimp Marketing Automation Flow Setup is a fixed-scope service for one business, one Mailchimp account, one audience, one primary entry trigger, and one multi-step marketing automation flow.

The service includes up to three automated emails and up to twelve configured flow steps after the trigger. These steps may include email actions, time delays, conditional splits, tag or group actions, and supported contact-field updates.

The service also includes controlled testing, two consolidated revision rounds, activation, and an implementation handoff.

Advanced e-commerce automations, abandoned-cart flows, API-triggered journeys, SMS automation, and custom multi-system workflows require separate services.

Define One Automation Objective

We begin by defining one primary objective for the automation.

The flow may be structured for one use case, such as:

  • Multi-email subscriber onboarding
  • Lead-nurture follow-up
  • Service onboarding
  • Event follow-up
  • Educational email sequence
  • Resource-delivery sequence
  • Tag-based follow-up
  • Group-based communication
  • Date-based reminders
  • Customer re-engagement
  • Internal contact classification
  • Movement between approved audience stages

The client must identify the intended contacts, desired outcome, required content, and final action the contact should take.

Complete lifecycle strategy, funnel development, and creation of multiple unrelated automation objectives are not included.

Review the Audience and Data Readiness

We review one existing Mailchimp audience and the data required to support the approved flow.

The review may cover:

  • Contact statuses
  • Existing audience fields
  • Tags
  • Groups
  • Signup sources
  • Date fields
  • Available campaign activity
  • Existing automation conflicts
  • Data required by the selected trigger
  • Data required by conditional rules

The client’s audience must already contain the fields, tags, groups, and contact information required for the approved logic.

Audience import, extensive cleanup, data enrichment, consent collection, custom-field reconstruction, and integration-based data synchronization are not included.

Map the Automation Flow

Before building the automation, we prepare one practical flow map showing how eligible contacts should move from entry to completion.

The map identifies:

  • The primary trigger
  • Entry requirements
  • Email actions
  • Time delays
  • Conditional decisions
  • Contact-management actions
  • Primary paths
  • Completion points
  • Any supported exit behavior

The approved map becomes the foundation for implementation.

A materially different flow structure requested after approval is outside the included revision scope.

Configure One Primary Entry Trigger

We configure one approved trigger that adds eligible contacts to the flow.

Depending on the available Mailchimp features and existing audience data, the trigger may be based on:

  • Email signup
  • Tag addition
  • Group membership
  • Audience-field change
  • Signup date
  • Birthday
  • Recurring date
  • Specific date
  • Manual addition
  • Another supported contact activity

The trigger is configured for one audience and one approved entry event.

Multiple triggers, e-commerce triggers, website behavioral tracking, custom API events, and third-party application triggers are not included.

Contacts already stored in the audience will not necessarily enter the flow automatically. Eligibility depends on the selected trigger, flow settings, contact status, activation time, and Mailchimp’s platform rules.

Configure Entry and Re-Entry Behavior

Where supported, we review whether eligible contacts should enter the flow once or be allowed to re-enter after completing it.

The selected behavior is configured according to the approved use case.

Repeated entry can cause contacts to receive the same messages more than once. The client must approve any re-entry setting before activation.

Complex frequency controls, multiple re-entry windows, and coordination across several active automations are not included.

Configure Up to Three Automated Emails

We create up to three automated emails within the approved flow.

Each email is assembled using an existing Mailchimp template or standard Mailchimp layout and may contain up to six approved content sections.

Basic email implementation includes:

  • Client-provided copy
  • Up to six client-provided images per email
  • Headings and paragraphs
  • Buttons
  • Destination links
  • Existing brand colors
  • Standard merge tags
  • Required footer information
  • Basic mobile formatting

Custom template design, from-scratch HTML development, copywriting, major rewriting, translation, and production of missing creative assets are not included.

Configure Email Sender and Inbox Settings

We configure and review the primary sender information for each included email.

This may include:

  • From name
  • From email address
  • Reply-to address
  • Subject line
  • Preview text

One subject line and one preview-text version are refined for each included email using the client’s approved content.

The sending address must be verified and available inside Mailchimp. Domain authentication or DNS configuration is not included.

Configure Up to Three Time Delays

We configure up to three approved time-delay rules to control when contacts move to the next step.

Delays may be used to:

  • Wait before the first email
  • Separate messages in a sequence
  • Allow time for a response
  • Prevent messages from arriving too close together
  • Coordinate follow-up with an approved date or activity

Each delay uses one approved duration supported by the selected flow.

Advanced send-time optimization, individual contact scheduling, business-hours logic, and multiple alternative delay paths are not included.

Configure Up to Two Conditional Splits

We configure up to two conditional split rules where the approved automation requires different paths for different contacts.

Conditions may be based on available information such as:

  • Tags
  • Groups
  • Audience fields
  • Contact status
  • Signup information
  • Campaign activity
  • Email interaction
  • Other supported segmentation data

The selected conditions must already exist and contain usable information in the audience.

Tracking limitations and recipient privacy features can affect the accuracy of open-based or engagement-based conditions. KizilCo cannot guarantee that every contact will be classified exactly as expected when the underlying data is incomplete or unavailable.

Percentage splits, complex experiments, nested decision trees, and more than two conditional split rules are not included.

Configure Contact-Management Actions

We configure up to four supported contact-management actions.

Approved actions may include:

  • Add a tag
  • Remove a tag
  • Add a contact to a group
  • Remove a contact from a group
  • Update a supported audience field

These actions can help identify a contact’s progress or prepare the contact for another approved business process.

Creation of new database architecture, synchronization with an external CRM, destructive contact actions, archiving, unsubscribing, and custom API updates are not included unless separately approved and purchased.

Review Links, Tracking, and Footer Elements

We add and review the approved links and available tracking settings for the included emails.

The review may cover:

  • Button destinations
  • Text hyperlinks
  • Image links
  • Mailchimp click tracking
  • Available open tracking
  • Existing Google Analytics tracking
  • Reply-to behavior
  • Required unsubscribe link
  • Preference-management link
  • Business name and physical address

External tracking services must already be correctly connected if they are expected to receive automation data.

Custom analytics, attribution modeling, integration installation, and dashboard development are not included.

Complete a Mobile-Readiness Review

Each included email is reviewed using Mailchimp’s available desktop and mobile preview tools.

The review covers:

  • Content order
  • Text readability
  • Image placement
  • Button visibility
  • Section spacing
  • Standard merge-tag placement
  • Required footer presentation
  • Obvious mobile-formatting problems

Email applications may display fonts, spacing, colors, images, and dark-mode styling differently. Identical rendering across every device and inbox application cannot be guaranteed.

Test the Emails

We complete controlled test sends of the included emails to up to three client-provided addresses.

Email testing covers:

  • Subject and preview presentation
  • Sender information
  • Copy and image placement
  • Button and text links
  • Standard merge tags
  • Footer information
  • Desktop and mobile readability
  • Obvious formatting problems

Contact-specific merge tags and dynamic content may not populate in ordinary test emails. Where applicable, these elements are reviewed using Mailchimp’s available preview settings.

Test the Flow Logic

We complete one controlled review of the automation’s trigger, paths, delays, and actions.

Where the trigger and account configuration permit, the flow is tested with up to three client-provided test contacts.

Long delay periods may be shortened temporarily during testing and restored to their approved values before activation. Some conditions may require structural validation when the real-world event cannot be reproduced safely during the project.

Third-party data delays, mailbox filtering, missing contact information, and external integration behavior are outside KizilCo’s control.

Obtain Final Approval

Before activation, the client must provide written approval confirming:

  • The selected audience
  • The entry trigger
  • Re-entry behavior
  • The flow structure
  • The email content
  • The sender information
  • The subject lines and preview text
  • The time delays
  • The conditional rules
  • The contact-management actions
  • The links and footer information

Once approved, the flow is considered ready for activation.

Changes to an active flow may require the complete flow or an individual step to be paused.

Activate the Automation Flow

After final written approval, we activate the automation inside the client’s Mailchimp account.

Eligible contacts can begin entering and moving through the flow according to the approved trigger, rules, actions, and Mailchimp’s platform behavior.

Contacts already progressing through the flow may be affected differently when an active flow is later edited, paused, or restarted. Post-activation changes and ongoing flow management are not included.

Implementation Handoff

The client receives a concise implementation summary identifying:

  • The flow name
  • The selected audience
  • The primary trigger
  • The configured flow steps
  • The included emails
  • The time delays
  • The conditional rules
  • The contact actions
  • The test status
  • The activation status
  • Any known limitation
  • The location of available reports
  • Practical instructions for pausing or reviewing the flow

The Mailchimp account, automation, audience, emails, content, and associated business assets remain owned and controlled by the client.

Client Requirements

Before work begins, the client must provide:

  • Administrator access to the Mailchimp account
  • An active plan supporting the approved flow
  • One prepared audience
  • One approved automation objective
  • The required audience fields, tags, and groups
  • A working source for the selected trigger
  • Final approved copy for up to three emails
  • Up to six final images per email
  • Complete destination links
  • From name and sending address
  • Reply-to address
  • Accurate business and footer information
  • Up to three unique test contacts
  • Timely consolidated feedback
  • Written approval before activation

The Mailchimp account must be in good standing and technically able to send the approved automated emails.

Delivery and Revisions

Standard delivery is 10–15 business days after all required access, content, assets, audience data, and flow instructions are received.

Two consolidated revision rounds are included when submitted within seven days of the corresponding delivery and remain within the approved flow map and original quantities.

A different trigger, additional email, additional branch, new automation objective, replacement content set, or materially different flow structure is treated as a separate service.

Client delays, plan limitations, missing data, audience problems, domain issues, third-party failures, and incomplete approvals may extend the delivery timeline.
