Service Scope
Mailchimp Migration Service is a fixed-scope service for one business, one source email marketing platform, one Mailchimp account, one primary Mailchimp audience, and up to 10,000 email contacts.
The service includes source-account review, data export coordination, contact-status separation, file preparation, audience-field mapping, tags, groups, saved segments, contact import, transfer of selected client-owned assets, recreation of one basic reusable email template, migration validation, two consolidated revision rounds, a cutover plan, and implementation handoff.
The service does not include SMS migration, automation rebuilding, campaign-history transfer, or migration from multiple source platforms.
Confirm the Source Platform
We review one existing email marketing platform selected by the client.
The source may be a supported platform such as:
- Constant Contact
- Klaviyo
- Brevo
- ActiveCampaign
- HubSpot
- Zoho Campaigns
- Campaign Monitor
- GetResponse
- AWeber
- Another platform with usable export tools
The source platform must provide access to the contact, status, field, and organization data required for the approved migration.
Custom database extraction, undocumented APIs, direct server access, and development of custom export tools are not included.
Establish the Migration Plan
Before exporting data, we establish one practical migration plan identifying:
- The source platform
- The target Mailchimp account
- The target audience
- The contact quantity
- The available contact statuses
- The fields to preserve
- The existing lists or categories
- The proposed Mailchimp tags
- The proposed groups
- The saved segments to recreate
- The email design selected for recreation
- The approved migration date
- The final cutover sequence
The client approves the migration plan before final data preparation begins.
A materially different audience structure requested after approval is outside the included revision scope.
Review the Source Account
We complete one practical review of the source email marketing account.
The review may cover:
- Contact lists
- Marketing statuses
- Unsubscribed contacts
- Bounced or undeliverable addresses
- Suppression information
- Available custom fields
- Existing categories or tags
- Existing segments
- Signup sources
- One selected email design
- Available client-owned images
- Visible sender information
- Existing automations and scheduled campaigns
The review identifies what can be transferred within the service scope and what must remain in the source platform.
Establish a Data Freeze
Before the final export, the client must approve a temporary data freeze or provide a clearly defined migration cutoff time.
During the final migration window, the client should avoid:
- Importing new contacts
- Editing large numbers of contact records
- Renaming lists or fields
- Changing marketing statuses
- Launching new campaigns
- Activating new automations
- Altering the selected source template
Changes made after the final export may not appear in Mailchimp.
A second full export and migration caused by continued source-account changes is treated as a separate import.
Export the Approved Contact Data
We export or coordinate the export of the approved contact information available from the source platform.
The export may include:
- Email address
- First name
- Last name
- Company name
- Phone number
- Address information
- Marketing status
- Signup source
- Signup date
- Existing categories
- Approved custom fields
- Other supported client data
The client must have legal ownership of the exported data and permission to transfer it into Mailchimp.
Data unavailable through the source platform’s normal export tools cannot be guaranteed.
Separate Contact Statuses
We separate the available contacts according to their source-platform marketing status.
The migration may distinguish:
- Subscribed contacts
- Unsubscribed contacts
- Non-subscribed contacts
- Bounced or undeliverable contacts
- Suppressed contacts
- Contacts with unclear status
Mailchimp recommends keeping subscribed, unsubscribed, and cleaned or undeliverable records separate when switching providers.
Where Mailchimp does not offer an identical destination status, undeliverable or suppressed addresses may be imported as unsubscribed or added through another appropriate suppression method.
Contacts with missing or unclear permission are not automatically treated as subscribed.
Preserve Unsubscribe and Suppression Information
Existing unsubscribe requests must remain respected after migration.
We prepare the available unsubscribe and suppression data so restricted contacts are not unintentionally imported as active marketing subscribers.
KizilCo does not:
- Remove unsubscribe history
- Resubscribe restricted contacts
- Convert unclear contacts into subscribed contacts
- Infer consent from purchase history
- Determine legal permission on the client’s behalf
A contact who wants to receive marketing again must complete an appropriate opt-in process supported by Mailchimp.
Prepare the Migration Files
We prepare the approved source exports for Mailchimp import.
Basic preparation may include:
- Reviewing column headings
- Removing empty rows
- Trimming obvious extra spaces
- Identifying visibly duplicated email addresses
- Separating contact-status files
- Standardizing approved field headings
- Preparing one tag column
- Reviewing basic email formatting
- Converting files to a supported CSV format
- Organizing fields for Mailchimp mapping
This service does not include third-party email verification, data enrichment, manual contact research, or major database reconstruction.
Configure One Primary Mailchimp Audience
We configure or review one primary Mailchimp audience for the migration.
The setup may include:
- Audience name
- Default From name
- Default From email address
- Reply-to information
- Business name
- Physical mailing address
- Permission reminder
- Basic contact defaults
- Required audience fields
Mailchimp generally works best when contacts are maintained in one primary audience and organized with fields, tags, groups, and segments.
Creating several duplicate audiences is not included.
Map Up to Twenty Audience Fields
We create or map up to twenty approved source fields into the Mailchimp audience.
Fields may include:
- Email address
- First name
- Last name
- Company name
- Phone number
- Address
- Birthday
- Customer type
- Lead source
- Account status
- Location
- Signup source
- Other approved custom information
Source data must be compatible with the selected Mailchimp field type.
Complex data transformation, relational records, unsupported field types, and custom database development are not included.
Rebuild Up to Twenty Tags
We create and apply up to twenty approved Mailchimp tags based on the source platform’s existing lists, labels, or internal classifications.
Tags may identify contacts by:
- Original source list
- Import source
- Customer type
- Lead status
- Product interest
- Location
- Event
- Purchase category
- Account status
- Another approved internal classification
The final tag structure is designed to remain practical and understandable after migration.
Configure Up to Two Group Categories
Where appropriate, we configure up to two Mailchimp group categories containing up to ten total group options.
Groups may be used for preferences or interests that contacts can manage through supported Mailchimp forms.
Internal classifications that contacts do not need to manage are normally converted into tags instead.
Custom preference-center development and migration of unsupported preference logic are not included.
Rebuild Up to Five Saved Segments
We recreate up to five practical saved segments using the information available after import.
Segments may be based on:
- Tags
- Groups
- Contact fields
- Location
- Customer status
- Lead source
- Signup source
- Other migrated data
Historical open, click, conversion, and engagement information from the source platform may not be available in Mailchimp and cannot be used for equivalent segments unless the required data is portable.
Import Up to 10,000 Contacts
We complete the approved status-separated imports into one Mailchimp audience.
The migration can add new contacts and update supported fields for existing contacts where approved.
Mailchimp may reject, skip, or restrict individual records because of:
- Duplicate email addresses
- Invalid email formatting
- Existing unsubscribe status
- Cleaned addresses
- Previous abuse complaints
- Missing required information
- Platform restrictions
- Contact limits
- Other import conditions
The service does not guarantee that every source record will be accepted.
Transfer Up to Twenty-Five Content Assets
We transfer up to twenty-five approved client-owned assets into the Mailchimp Content Studio or appropriate template location.
Assets may include:
- Logos
- Header graphics
- Product images
- Service images
- Icons
- Approved promotional graphics
- Other client-owned email assets
The client must confirm ownership or usage rights for every transferred asset.
Stock-image licensing, image redesign, advanced compression, animation, and creation of missing assets are not included.
Recreate One Basic Email Template
We recreate one existing source-platform email design as a basic reusable Mailchimp template.
The recreation may include:
- Logo placement
- Brand colors
- Basic typography
- Header
- Standard content sections
- Buttons
- Social links
- Required footer
- Mobile-friendly layout
The template is recreated using standard Mailchimp builder capabilities.
Email platforms use different builders and rendering systems, so an exact pixel-for-pixel copy cannot be guaranteed.
Custom HTML reconstruction, advanced interactive elements, conditional content, and multiple templates require a separate Custom Mailchimp Email Template Design service.
Configure Sender and Footer Information
We configure or review the primary sender and required footer information in Mailchimp.
This may include:
- Default From name
- Default From email address
- Reply-to address
- Business name
- Physical mailing address
- Unsubscribe link
- Preference-management link
- Copyright information
- Permission reminder
The sending address must be verified and available in Mailchimp.
Domain authentication and DNS configuration are not included.
Validate the Migration
After the imports are completed, we review the visible Mailchimp results.
The validation covers:
- Total source records submitted
- Contacts added
- Existing contacts updated
- Contacts skipped
- Contact statuses
- Field mapping
- Tags
- Groups
- Saved segments
- Selected contact profiles
- Transferred content assets
- Recreated template
- Visible import errors
One standard correction and re-import attempt is included for records affected by an in-scope formatting or field-mapping issue.
Complete a Controlled Test
We complete one controlled test using the recreated template and up to three client-provided inboxes.
The test reviews:
- Sender presentation
- Template layout
- Images
- Buttons and links
- Standard merge tags
- Required footer information
- Desktop and mobile readability
The test does not constitute a live campaign launch to the migrated audience.
Prepare the Cutover
After validation, we provide a practical cutover checklist covering:
- Final Mailchimp audience status
- Remaining source-platform campaigns
- Existing source automations
- Signup forms still connected to the source
- Integrations still sending data to the source
- Domain-authentication status
- Recommended first campaign preparation
- Source-account retention period
- Suggested cancellation timing
The client should not cancel the source platform until the migration has been reviewed and approved.
KizilCo does not cancel, delete, or close the source account.
Implementation Handoff
The client receives a concise migration summary identifying:
- The source platform
- The target Mailchimp audience
- The number of records submitted
- The visible import results
- The statuses transferred
- The fields mapped
- The tags created
- The groups configured
- The saved segments created
- The assets transferred
- The template recreated
- Any unresolved platform limitation
- Recommended next steps
The source account, Mailchimp account, contact data, templates, and associated business assets remain owned and controlled by the client.
Client Requirements
Before work begins, the client must provide:
- Administrator or export access to the source platform
- Administrator access to Mailchimp
- One prepared Mailchimp account
- One approved source account
- A final migration cutoff date
- Documented marketing permission
- Accurate contact-status information
- The requested fields, tags, groups, and segments
- Final logo and brand assets
- One email design selected for recreation
- Accurate sender and footer information
- Up to three inboxes for controlled testing
- Timely consolidated feedback
- Approval of the completed migration
The client must maintain active access to both platforms until the migration is approved.
Delivery and Revisions
Standard delivery is 10–15 business days after all required access, information, assets, and final source data are received.
Two consolidated revision rounds are included when submitted within seven days of the corresponding delivery and remain within the original quantities and approved migration plan.
A replacement source export, second platform, additional audience, materially different organization structure, or migration of additional assets is treated as a separate service.
Source-platform export delays, Mailchimp import restrictions, missing status data, large files, account limits, and client approvals may extend the delivery timeline.

- More than one basic email template
- Custom HTML template development
- Historical campaign transfer
- Historical reports or analytics
- Historical open or click activity
- Automation or customer-journey migration
- Signup form migration or website installation
- CRM, e-commerce, API, or application integrations
- Domain authentication or DNS configuration
- Live campaign scheduling or sending
- Third-party email verification
- Data enrichment or manual research
- Major database cleanup
- Resubscribing restricted contacts
- Legal or regulatory compliance review
- Source-account cancellation or deletion
- Guaranteed acceptance of every source contact
