Service Scope
Online Reputation & Review Presence Setup is a fixed-scope service designed to strengthen the customer-facing review and reputation foundation of one business.
The service covers one primary business, one primary location or service area, and setup or optimization of up to five relevant review or business-profile platforms.
The objective is to create accurate and professional review profiles, simplify the customer review process, establish a repeatable review request workflow, and improve consistency across the places potential customers use to evaluate the business.
Reputation Presence Audit
We begin by reviewing the business’s existing online review and reputation presence.
The review may include:
- Existing review profiles
- Business profile accuracy
- Review volume
- Overall review distribution
- Recent customer feedback
- Profile completeness
- Business information consistency
- Duplicate profile observations
- Outdated profiles
- Missing priority platforms
- Website review pathways
- Review request processes
The audit establishes which reputation assets should be created, corrected, or prioritized.
Priority Platform Selection
We identify the review and business-profile platforms most relevant to the client’s business, industry, and customer journey.
Depending on the business, these may include:
- Google Business Profile
- Bing business presence
- Major consumer review platforms
- Industry-specific review platforms
- Professional directories
- Local business platforms
- Marketplace profiles
- Other relevant customer-feedback platforms
The service prioritizes platforms that have a legitimate relationship to the business rather than creating profiles across every available review website.
Review Profile Setup
Where the business does not already have an appropriate profile, we assist with creating or claiming approved profiles where platform eligibility allows.
Setup may include:
- Business name
- Business address
- Phone number
- Website URL
- Business category
- Business description
- Business hours
- Service-area information
- Contact details
- Logo
- Client-provided business images
- Available customer-action links
Profile configuration varies according to the fields and functionality available on each platform.
Existing Profile Optimization
Existing review profiles are reviewed for missing, outdated, or inconsistent information.
Optimization may include:
- Business name correction
- Contact information
- Website URL
- Business category
- Business description
- Operating hours
- Service areas
- Logo
- Business images
- Customer links
- Profile completeness
The objective is to present a consistent and professional business identity wherever customers encounter the company.
Business Information Consistency
We compare key information across selected review platforms and the client’s website.
The review may include:
- Business name
- Address
- Phone number
- Website
- Business hours
- Location information
- Service-area information
- Business categories
Major inconsistencies are corrected where account access and platform functionality allow.
Consistent business information helps reduce customer confusion and creates a more professional reputation presence.
Review Request Workflow
We create a practical workflow the business can use to request legitimate customer reviews after appropriate customer interactions.
The workflow may define:
- When to request a review
- Which customers should receive the request
- Who on the team sends the request
- Which platform should be prioritized
- How the review link is delivered
- Whether follow-up is appropriate
- How review requests fit into existing customer communication
The system is designed to become part of the normal customer experience rather than an occasional manual effort.
Direct Review Links
Where supported, we configure or organize direct links that make it easier for customers to reach the appropriate review destination.
These may include:
- Direct Google review link
- Review profile link
- Business-profile link
- Website review button destination
- Email review link
- SMS review link
- QR-code destination recommendations
The objective is to reduce unnecessary steps between the customer receiving a request and reaching the appropriate review platform.
Review Request Messaging
We prepare reusable review request messaging that can be adapted to the client’s customer communication channels.
Messages may be prepared for use through:
- SMS
- CRM follow-up
- Customer service follow-up
- Post-purchase communication
- Appointment follow-up
- Service completion follow-up
Messaging is written to request honest feedback without directing customers to leave only positive reviews.
Email Review Request Setup
Where the client already uses an email or CRM platform that supports customer follow-up, we may provide a basic review request template and workflow recommendation.
The setup may include:
- Review request subject recommendation
- Customer message
- Review link placement
- Timing recommendation
- Follow-up recommendation
- Customer segmentation considerations
Advanced CRM automation, custom email development, or complete lifecycle marketing automation is outside the fixed scope.
SMS Review Request Setup
Where appropriate for the business and its existing communication practices, we may provide a short SMS review request template.
The setup may include:
- Short review request message
- Direct review link
- Timing recommendation
- Follow-up considerations
The client remains responsible for using SMS communications in accordance with applicable consent and messaging requirements.
This service does not include SMS software fees or bulk messaging services.
Website Review Pathway
We review whether the client’s website gives customers an appropriate pathway to leave feedback or view external reputation profiles.
Recommendations may include:
- Review button
- Testimonials section
- External profile link
- Contact page review link
- Customer follow-up page
- Review call to action
Reasonable link placement may be implemented when appropriate website access is available.
Complete website redesign is not included.
Review Response Framework
We create a structured framework for responding professionally to customer reviews.
The framework may include guidance for:
- Positive reviews
- Neutral reviews
- Negative reviews
- Customer complaints
- Service misunderstandings
- Reviews requiring internal investigation
- Reviews containing inaccurate information
- Sensitive customer situations
The goal is to help the business respond consistently without using identical automated responses for every customer.
Positive Review Response Guidance
We provide guidance for acknowledging positive customer feedback naturally and professionally.
Recommendations may include:
- Thanking the customer
- Referencing the customer experience appropriately
- Avoiding repetitive canned responses
- Maintaining brand tone
- Keeping responses concise
- Avoiding unnecessary promotional language
The objective is to show that the business actively values customer feedback.
Negative Review Response Guidance
Negative reviews require a different response approach.
We provide a framework designed to help the business respond professionally while avoiding public arguments or unnecessary escalation.
The framework may include:
- Acknowledging the concern
- Avoiding defensive language
- Protecting customer privacy
- Moving detailed disputes offline
- Offering an appropriate contact path
- Avoiding admissions that have not been verified
- Documenting issues internally
- Escalating serious cases when necessary
Individual legal, regulatory, or crisis-response matters may require specialized professional advice outside this service.
Review Monitoring Process
We establish a basic process the business can use internally to monitor new reviews after setup.
The process may define:
- Which platforms should be checked
- How frequently reviews should be reviewed
- Who is responsible
- Which reviews require a response
- When an issue should be escalated
- How customer feedback can be shared internally
Continuous monitoring by KizilCo is not included unless ongoing reputation management is purchased separately.
Duplicate & Outdated Profile Review
We identify obvious duplicate or outdated review profiles encountered during the project.
These may include:
- Duplicate business profiles
- Old business addresses
- Former phone numbers
- Incorrect website URLs
- Closed locations
- Incorrect business names
- Unclaimed legacy listings
Where practical, we provide recommendations or limited assistance for correcting or reporting these profiles.
Complex ownership disputes or extensive profile cleanup may require separate scope.
Review Policy Alignment
The review request process is designed around legitimate customer feedback.
The strategy does not include:
- Fake reviews
- Purchased reviews
- Employee-generated customer reviews
- Review manipulation
- Automated fabricated feedback
- Review swapping
- Creating fictitious customer accounts
- Pressuring customers to leave only positive reviews
The business should request honest feedback from real customers who have had an actual experience with the company.
Review Gating Avoidance
The workflow is not designed to privately screen customers and only direct satisfied customers to public review platforms while preventing dissatisfied customers from leaving public feedback.
Review requests should provide customers with an appropriate opportunity to share genuine feedback.
Internal customer satisfaction surveys may still be used for business improvement, but they should not be used deceptively to manipulate public review outcomes.
Reputation Signal Consistency
We review how the business presents itself across the selected reputation platforms.
The review may include:
- Brand name
- Business description
- Contact details
- Logo
- Services
- Website links
- Geographic information
- Customer-facing messaging
The objective is to create a recognizable and consistent business presence across platforms.
Reputation & Local SEO Alignment
For businesses that rely on local search visibility, we review how the reputation setup connects with the broader local SEO foundation.
This may include observations related to:
- Google Business Profile
- Business citations
- Website information
- Location pages
- Customer review presence
- Business categories
- Local business consistency
This service focuses on reputation setup and does not replace a complete Local SEO Setup & Optimization engagement.
Implementation
Approved profile and review-presence improvements are implemented directly where the required accounts, permissions, and platform functionality are available.
Implementation may include:
- Profile creation
- Profile claiming assistance
- Business information updates
- Business descriptions
- Contact links
- Review links
- Customer review pathway setup
- Client-provided visual assets
- Website review links
- Review request templates
All third-party profile changes remain subject to the platform’s verification, moderation, and publishing requirements.

- Business profile accuracy
- Review platform links
- Business information consistency
- Profile completeness
- Direct review links
