Bring Your Team’s Communication and Files Into One Place
Define One Team Collaboration Environment
We begin by agreeing how the team should communicate, store shared files, organize channels, and run meetings. The setup is built around one approved company structure: user roles, email naming, shared addresses, folder ownership, channel purposes, and the meeting habits that help the team work from one connected environment instead of disconnected tools.
Set Up Professional Business Email
One approved business domain is configured for Zoho Mail with up to 10 named user mailboxes, up to three shared group addresses or aliases, and the core DNS records needed for mail delivery and authentication. Administrative settings, user access, and basic mail preferences are prepared around the client’s approved structure. The client retains ownership of the domain and must provide DNS access or apply the supplied DNS changes.
Organize Shared Files in WorkDrive
Zoho WorkDrive is configured around one company file strategy with up to five Team Folders and up to 20 approved core folders. Folder ownership, sharing roles, and access for the configured users are set so the team has a clear place for operating documents, client files, and internal resources. This establishes the structure; bulk file migration and ongoing content management remain outside the scope.
Create a Focused Cliq Channel Structure
Zoho Cliq is configured as the team’s day-to-day communication layer, with up to five approved channels, named channel owners, and one practical communication structure for company-wide, team, and operational discussions. Basic access and notification preferences are aligned with the agreed setup so conversations are easier to find and less likely to be buried in email threads.
Prepare the Meeting Environment
Zoho Meeting is configured for up to five meeting hosts, subject to the client’s Zoho plan and licences. The setup includes one approved meeting security approach, host and participant settings, and two reusable meeting configurations for common internal or client-facing sessions. Calendar-based scheduling and a clear meeting-link convention help the team start and join meetings consistently.
Apply Roles, Groups, and Access
Access is configured for up to 10 named users, up to two administrators, and up to three approved user groups across the agreed Workplace services. Mail, WorkDrive, Cliq, and Meeting permissions are aligned with the client’s responsibilities so the right people can collaborate without opening every file, channel, or administration setting to the entire organization.
Make Daily Collaboration Easier
We establish one practical operating path for the team: use business email for formal communication, WorkDrive for shared files, Cliq for active discussion, and Zoho Meeting for live conversations. This is a configuration and adoption foundation, not a custom automation project. No bots, external-app integrations, bespoke workflows, or organisation-wide change-management programme are included.
Test, Refine, and Hand Off
We test the approved environment with one client-supplied test user, mailbox, shared address, folder share, Cliq channel, and Meeting session where available. Practical in-scope refinements are completed before one 90-minute live administrator handoff, so the client can confidently manage users and daily collaboration after launch.
